Rental Terms

All vehicle rentals in Newcastle upon Tyne are governed by a comprehensive Rental Agreement provided during booking confirmation or at the time of vehicle collection. This document outlines specific terms, conditions, insurance information, applicable charges, and your obligations for the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement prevails.

Eligibility Criteria

Renting a vehicle in Newcastle:

• To hire a vehicle in Newcastle upon Tyne, you must be at least 21 years old, noting that specific vehicle categories may have different age requirements and potential extra fees for drivers under 25. You are required to possess a valid driving licence suitable for the vehicle type, held for the minimum duration stated in the Rental Agreement. Identification and proof of your current address are necessary, along with valid payment details and a security deposit. Additional criteria may be outlined in the Rental Agreement.

3. Reservations and Payments

• Reservations can be made via our website, by phone, or directly at our Newcastle upon Tyne office. A deposit may be necessary to confirm your booking. The total payment and a security deposit are generally required at the time of vehicle pickup. All pricing is in British Pounds (£) and includes VAT where relevant. We accept major credit and debit cards, processed securely through trusted payment providers.

Vehicle Pick-Up and Drop-Off

• Upon collecting your vehicle, please conduct a thorough inspection and promptly report any pre-existing damage. A vehicle condition report will be completed and signed to document its state. It is your responsibility to return the vehicle in the same condition as it was collected, accounting only for normal wear and tear. Any new damage will be evaluated and charged appropriately. Please ensure the vehicle is returned with the same fuel level as at collection; otherwise, refueling charges will apply. If you anticipate a late return, contact us as soon as possible, as additional charges may apply. You will be liable for any parking fines, traffic violations, or related charges incurred during your rental, along with an administration fee.

5. Insurance and Responsibility

• Basic third-party insurance is included with every rental in Newcastle upon Tyne. You will find comprehensive coverage details and excess amounts outlined in the Rental Agreement. Additional insurance options may be available to minimize your financial liability. It is advisable to review these options thoroughly. You remain liable for any damage or loss up to the insurance excess unless additional insurance is purchased. Any damage resulting from negligence or misuse is your responsibility, regardless of insurance coverage.

Cancellation and Amendments

Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, consult your booking confirmation or Rental Agreement. Please be aware that late cancellations or no-shows could incur additional charges.

7. Restricted Activities

Prohibited uses of the rental vehicle:

• Engaging in any unlawful activities is prohibited. This includes racing, rallying, off-roading, or any actions that may pose risks. Transporting hazardous materials is not allowed. Vehicles must not be sub-let or operated by unauthorized drivers. Driving under the influence of alcohol or drugs is strictly forbidden. Additionally, vehicles should not be used for purposes they were not intended for, should not exceed passenger or weight limits, and must remain within designated geographical boundaries unless prior approval is obtained.

Breach of these terms may lead to rental cancellation and extra fees.

8. Liability Limitations in Newcastle

To the fullest extent allowed under English and Welsh law, Car Hire Newcastle upon Tyne will not be responsible for indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims is limited to the rental amount paid in the previous 12 months. This limitation does not apply to instances of negligence leading to death or personal injury, or to cases of fraud.

These Terms are governed by the laws of England and Wales. Any disputes will be handled exclusively by the courts in this jurisdiction.
